Pilot service 5 of 10
Unpaid Invoice Tracker with Draft Reminders
A weekly aging report, which invoices need a reminder this week and why, and a draft reminder for each.
Overdue invoices slip because chasing them is awkward and nobody has a clear list each week.
Pilot. This is a pilot: a small, hands-on version of the service while we learn what works for buyers. It is not a finished product. A person reviews every report before it goes to you.
Ready for a paid pilot. We ran this pilot from start to finish on invented test data and read the result (2026-10-11); a person still reviews every report before it goes to you. The terms are below.
Who it is for
Owners and office managers of small service businesses, agencies and trades with 20 or more open invoices.
What you get
- An aging report (current, 1–30, 31–60, 61–90 and 90+ days past due) and the total owed by each customer.
- The invoices that need a reminder this week, and why.
- A draft reminder for each, friendly at first and firmer later, never threatening, with the exact invoice number, balance and due date, for you to review and send.
- A list of invoices not chased, and why: disputed, reminded recently, or paid.
See a sample made from invented data, produced by the same code a pilot uses, with the quality checks it passed.
The pilot
- Up to 200 open invoices.
- Four weekly reports, each from that week's export.
What you send
- An open-invoices export (invoice number, customer, contact name and email, issue date, due date, amount, amount paid) from your accounting software or a spreadsheet. A draft needs the customer's email address; some accounting reports leave it out, and we will ask you to add it.
- Your payment terms and how customers can pay.
- Any disputed invoices, or customers not to contact.
What it is not
- Read-only: nothing changes in your accounting system, and no payment is taken.
- Amber does not contact your customers. You send any reminder yourself.
- No late fees, collections or legal language in the drafts. Not legal advice.
Pilot price
$149 for four weekly reports. A test price for the pilot. It may change after the first pilots.
Nothing is charged on this page. If the pilot fits, we confirm the scope and the price with you by email before you send any files, and the delivery date before you pay. You pay nothing until we have checked that your files can be read.
Pilot terms
- Scope. Up to 200 open invoices. Four weekly reports, each from that week's export.
- Price. $149 for four weekly reports. A test price for the pilot. It may change after the first pilots.
- Turnaround. Target: the first report within 3 business days after we have your payment and files we can read, then each following one within 2 business days of that week's export. We confirm the delivery date in writing before you pay; it is a target, not a promise.
- Payment. You pay once, after the scope, the price and the delivery date have been agreed with you in writing and we have checked that your files can be read. We send one payment request by email, and your report is prepared and sent once the payment arrives. Nothing is charged on this page, and nothing is charged until you pay that request.
- Refunds. If we cannot produce your report from the files you send, and you cannot send others we can read, you get a full refund. Once a report has been delivered there is no refund, because the work has been done. If your pilot has more than one delivery, the refund covers the deliveries not yet made. If only some of your files can be read, the report covers those and lists the rest as not read.
- Delivery. Your report arrives by email, reviewed by a person: a web page you can open in any browser, and the lists as spreadsheet (CSV) files. We send nothing to your customers and change nothing in your systems.
- Your data. We use your files only to prepare your report. We keep them and the report for up to 60 days so we can answer questions, then delete them, or sooner if you ask. We do not sell your data.
- Your side. By sending files you confirm they are yours to share with us.
Ask about this pilot
Send only what the pilot needs. Your files are used only to prepare your report, are kept for up to 60 days after the pilot so we can answer questions, and are deleted sooner when you ask. We never log into your systems for a pilot.
