Pilot service 3 of 10
Job-Cost Exception Report
Budget against actual for each job, and a short list of costs worth a second look, with the transactions behind each.
Overruns and miscoded costs often surface only when a job is closed and the money is already spent.
Pilot. This is a pilot: a small, hands-on version of the service while we learn what works for buyers. It is not a finished product. A person reviews every report before it goes to you.
Ready for a paid pilot. We ran this pilot from start to finish on invented test data and read the result (2026-10-11); a person still reviews every report before it goes to you. The terms are below.
Who it is for
Owners, project managers and bookkeepers of small construction firms (general contractors, remodelers, specialty subcontractors) with 3 to 30 active jobs.
What you get
- For each job: budget, amount spent, percent spent and the percent complete you give us, side by side.
- Budget against actual by cost code.
- Exceptions for review: cost codes over budget, costs on codes outside a job's budget, costs on closed jobs, possible duplicate bills, and jobs where spending runs well ahead of progress.
- Each exception lists the transactions behind it and who should look at it.
See a sample made from invented data, produced by the same code a pilot uses, with the quality checks it passed.
The pilot
- Up to 10 active jobs.
- One month of costs: one report, then one refresh from a new export.
What you send
- Job budgets by cost code, as an export or spreadsheet.
- The month's cost transactions with job, cost code, vendor and amount (for example a job-cost detail export).
- Percent complete per job from your project manager.
- Your cost-code list.
What it is not
- Read-only: nothing is posted, recoded, paid or changed in your books.
- Not accounting, tax or legal advice, and not an audit. It flags items for you or your bookkeeper to decide.
- No login to your accounting or project software.
Pilot price
$449 for up to 10 jobs: the report and one refresh. A test price for the pilot. It may change after the first pilots.
Nothing is charged on this page. If the pilot fits, we confirm the scope and the price with you by email before you send any files, and the delivery date before you pay. You pay nothing until we have checked that your files can be read.
Pilot terms
- Scope. Up to 10 active jobs. One month of costs: one report, then one refresh from a new export.
- Price. $449 for up to 10 jobs: the report and one refresh. A test price for the pilot. It may change after the first pilots.
- Turnaround. Target: the report within 3 business days after we have your payment and files we can read, and the refresh within 2 business days of the new export. We confirm the delivery date in writing before you pay; it is a target, not a promise.
- Payment. You pay once, after the scope, the price and the delivery date have been agreed with you in writing and we have checked that your files can be read. We send one payment request by email, and your report is prepared and sent once the payment arrives. Nothing is charged on this page, and nothing is charged until you pay that request.
- Refunds. If we cannot produce your report from the files you send, and you cannot send others we can read, you get a full refund. Once a report has been delivered there is no refund, because the work has been done. If your pilot has more than one delivery, the refund covers the deliveries not yet made. If only some of your files can be read, the report covers those and lists the rest as not read.
- Delivery. Your report arrives by email, reviewed by a person: a web page you can open in any browser, and the lists as spreadsheet (CSV) files. We send nothing to your customers and change nothing in your systems.
- Your data. We use your files only to prepare your report. We keep them and the report for up to 60 days so we can answer questions, then delete them, or sooner if you ask. We do not sell your data.
- Your side. By sending files you confirm they are yours to share with us.
Ask about this pilot
Send only what the pilot needs. Your files are used only to prepare your report, are kept for up to 60 days after the pilot so we can answer questions, and are deleted sooner when you ask. We never log into your systems for a pilot.
